1. What service does LetterService.com provide?
LetterService.com is a trusted third party service provider for storing and delivering letters of recommendation.
2. What is the procedure to use your service?
- (1) Create an account on our website www.LetterService.com.
- (2) Create a letter request asking your recommenders to write a letter of recommendation for you. Our system will automatically email a copy of the request to your recommenders. You may also print a hardcopy and hand it to your recommenders.
- (3) Your recommenders (letter writer) will need to submit the letter to us. They may mail the letter to us, or email it to us or upload the letter document via our website. In the case the letter is sent to us via postal mail, we will scan it and upload it.
- (4) Once the letter is received and uploaded, you will be able to order a delivery of the letter to the institutions you are applying for.
- (5) You can view all your letter requests and track your delivery orders online.
3. Why should I use LetterService.com?
Well, most likely, you will apply for multiple jobs or admission with multiple institutions. Your recommenders will have to write multiple letters and send one to each of these institutions. With LetterService.com, your recommenders will only need to provide us one copy of their letter. We will keep it on file and you can request us to send the letter to support your multiple applications. Even if you need to apply for a new job later, you will still be able to use that letter. You can store all your letters of recommendation in one place at LetterService.com, and use them when needed.
4. How long will you keep our reference letters on file?
Currently, we will keep your reference letters for five years.
5. Should my recommender write the letter to a specific organization?
Since your reference letters are to be used for multiple applications (i.e. sent to multiple recipients), the letter should not be organization-specific.
6. Should I obtain a confidential letter or a non-confidential letter ?
You can access your reference letters unless you choose to waive that right. If you have chosen to waive your right to access the letter, the letter will be marked as “confidential” and cannot be viewed by you. When you create a letter request to your recommender, you can choose to obtain the letter as either confidential or non-confidential. Keep in mind that most employers and school admission officers prefer confidential letters, as a confidential letter tends to be more balanced and candid than a non-confidential letter.
7. Where can I request my reference letters be sent to ?
We will only send your reference letters to prospective employers, professional and graduate schools, and scholarship and fellowship offices with verifiable business addresses. If the letter is to be sent via email, the recipient’s email address must be official (i.e. ending with “.edu”) and verifiable. If we are unable to verify the recipient, we will refuse to send the letter, and your delivery order will be cancelled and your payment will be refunded.

2. I received a letter request. How do I submit the letter to LetterService.com?
You can submit the letter to us via postal mail, email or our website. Detail instructions are provided in the Letter Request Form sent to you.
3. Will my letter be viewed by the applicant?
When the applicant creates a letter request, the applicant has to indicate whether or not he or she agrees to waive his or her right to access the letter. If the applicant has agreed to waive the right, the letter is marked as confidential and we will not disclose the letter to the applicant. Please check the Letter Request Form you have received.
4. Should I write the reference letter to a specific organization?
Since the applicant will use the reference letter for multiple applications (i.e. the letter will be sent to multiple recipients), the reference letter should not be organization-specific.
5. What is the requirement for the reference letter?
The letter must clearly and correctly indicate the applicant’s full name. The letter must also be printed on the letterhead and signed. Your letter should be appropriate for multiple audiences (i.e. not organization-specific).
6. Where will my letter be sent?
With the applicant’s requests, your letters may be sent to prospective employers, professional and graduate schools, and scholarship and fellowship offices with verifiable business addresses. If we are unable to verify the recipient, we will refuse to send the letter.
7. Is there a cost to letter writers?
No. Our service is free for letter writers.
